Introduction

DBI Network, Inc., is committed to protecting the privacy of personal information.  This Privacy Policy describes why and how we collect, use, and share personal information.  We use personal information provided to us for any of the purposes described in this Privacy Policy or as otherwise stated at the point of collection of the personal information.

Members of the DBI Network are independent companies that are independently responsible for maintaining and complying with their own Privacy Policies.  DBI Network requires its Members to maintain and comply with a Privacy Policy, and to comply with any specific contractual obligations, including non-disclosure agreements, with clients.

Our goal is to process personal information as necessary for our legitimate business purposes, in a transparent manner.  If you have any questions or concerns regarding our privacy practice, please contact as set forth in the Complaints Management section below.

Websites for DBI Network

Information collected

When you visit our website (http://dbinetwork.com/), DBI does not collect or track information about you or your use of our website.  We collect only information that you choose to provide through the “contact us” form.

This information you may choose to provide through the “contact us” form includes your name, your e-mail address, and your question for us.

Members of DBI Network may collect additional information, or may use tracking technologies on their own websites, which are independent of the DBI Network website.  Please refer to the individual privacy policies for each DBI Member for information collected, and how it is used, disclosed, and retained.

Information use

We use the information collected through our website to provide you with answers to your questions, and for our customer relationship management database as described below.

Information disclosure

We will only share personal information provided to us through our website with others for a business purpose and when we are legally permitted to do so.  When we share personal information with others, we put contractual arrangements in place to protect the information and require compliance with this Privacy Policy.

Information retention

Personal information collected through our website will be retained in the DBI CRM for as long as we have, or need to keep a record of, a relationship with a business contact.  Personal information may be held for longer periods where extended retention periods are requested by law, regulation, or professional standards and to establish, exercise, or defend our legal rights.

Business contacts

Information collected

We collect and use business contact details for individuals associated with existing and potential DBI Network clients to manage and maintain our relationship with those individuals.  Like most businesses, we use a customer relationship management system (the “DBI CRM”) to store personal information about our business contacts.

The collection of personal information about contacts and the addition of that personal information to the DBI CRM is initiated by DBI staff, members, associates, or contractors and may include name, employer name, title, telephone, FAX, email, website, mailing address, and other business contact information.  In addition, the DBI Network email and calendar systems record information concerning interactions between DBI and business contacts.

Information use

We use business contact information to develop and manage our business, and to provide information about DBI Network and our services.  This may include:

  • Managing client relationships
  • Providing services to our clients
  • Developing our business and services
  • Distributing information about our business and services that we believe will be of interest

During the course of work with a client, it is our policy to collect personal information only to the extent necessary for the project.  All data collection will be consistent with our contract with the client, including any non-disclosure agreement or other terms regarding intellectual property.  Information collected could include name, employer name, title, telephone, FAX, email, website, mailing address, and other business contact information.  Depending on the nature of a project, other personal information could also be collected.

Information use

We use the personal information collected during the course of work with a client for the business purposes we are contracted to provide under the terms of our contract.  Business contact information for clients may also be added to the DBI CRM to develop and manage our business, and to provide information about DBI Network and our services.

Information disclosure

Client information collected during the course of work with a client will be disclosed only in a manner consistent with our contract with the client, including any non-disclosure agreement or other terms regarding intellectual property.

Information retention

Personal information collected during the course of work with a client will be retained for as long as necessary for the purpose for which it was collected, subject to the terms of our contract with the client, including any non-disclosure agreement or other terms regarding intellectual property.

DBI Member information

Information collected

DBI Network, Inc. collects and uses business contact details for DBI Members, and employees or contractors of DBI Members.  This business contract information is stored in the DBI CRM and may include name, employer name, title, telephone, FAX, email, website, mailing address, and other business contact information.  In addition, the DBI Network email and calendar systems record information concerning interactions between DBI Network, Inc. and the Members.

Information use

We use DBI Member contact information to develop and manage our business, and to provide information about DBI Network and our services.  This may include:

  • Managing client relationships
  • Providing services to our clients
  • Developing our business and services
  • Distributing information about our business and services that we believe will be of interest

DBI Network, Inc. collects and uses business contact details for its suppliers and subcontractors, and their employees or contractors.  This business contract information is stored in the DBI CRM and may include name, employer name, title, telephone, FAX, email, website, mailing address, and other business contact information.  In addition, the DBI Network email and calendar systems record information concerning interactions between DBI Network, Inc. and the Members.

Information use

We use DBI supplier / subcontractor contact information to develop and manage our business, and to provide information about DBI Network and our services.  This may include:

  • Managing client relationships
  • Providing services to our clients
  • Developing our business and services
  • Distributing information about our business and services that we believe will be of interest

Information disclosure

We will only share personal information about DBI suppliers / subcontractors (and their employees and subcontractors) with others for a business purpose and when we are legally permitted to do so.  When we share personal information with others, we put contractual arrangements in place to protect the information and require compliance with this Privacy Policy.

Information retention

Personal information about DBI suppliers / subcontractors, and their employees and contractors, will be retained in the DBI CRM for as long as we have, or need to keep a record of, a relationship with a business contact.  Personal information may be held for longer periods where extended retention periods are requested by law, regulation, or professional standards and to establish, exercise, or defend our legal rights.

Cross-Border Transfer; EU GDPR Compliance

DBI Network, Inc. works with Members and Suppliers / subcontractors located in other countries.  Personal information may be transferred outside the countries where we and our clients are located.  This may include transfers to countries outside the European Economic Area (EEA).  When we transfer personal information outside of the EEA, the transfers will be under an agreement using Model Contracts which comply with the Standard Contractual Clauses approved by the European Commission, which are available here.

Privacy Policy Communication and Training

The Privacy Policy is communicated to DBI Members through the onboarding process, as a document to be reviewed and acknowledged; and through periodic review during conference calls and summit meetings.

DBI Members and their employees and contractors, and DBI suppliers / subcontractors, are required to undergo training on the DBI Privacy Policy before working on a client project.  Training may be direct, through classroom or webinar training, or by reading and confirming their understanding of the privacy policy.

Business continuity and disaster recovery plan for personal information

DBI has implemented generally accepted standards of technology and operational security designed to protect personal information from loss, misuse, alteration, or destruction.  Only authorized DBI personnel and the third parties described in this Privacy Policy are provided access to personal information, and these parties have agreed to maintain the confidentiality of this information.

DBI Members (and their employees and subcontractors), and DBI suppliers / subcontractors (and their employees and subcontractors), are likewise required to implement generally accepted standards of technology and operational security designed to protect personal information from loss, misuse, alteration, or destruction, and to restrict access to personal information to authorized personnel who have agreed to maintain the confidentiality of the information.

Management of client project data, including business continuity and disaster recovering planning, will be consistent with our contract with the client, including any non-disclosure agreement or other terms regarding intellectual property.

In the event that personal data is lost or stolen, DBI will notify the impacted parties and take other action as may be required by contracts with individual clients.

Compliance monitoring

Monitoring of laws and regulations related to privacy

DBI Network has retained corporate legal counsel, which advises DBI on laws and regulations, including those related to privacy.  DBI’s corporate legal counsel monitors changes to laws and regulations, and advises DBI of any such changes that may require revisions to this Privacy Policy.  In addition, DBI’s corporate legal counsel advises DBI management on compliance with client contract terms and supplier policies.

DBI further reviews this privacy policy on an annual basis to identify need for improvement, or revisions to confirm to new laws and regulations.

Internal auditing

DBI periodically reviews the Privacy Policy with DBI Members (including their employees and subcontractors) and DBI suppliers / subcontractors (and their employees and subcontractors) to reconfirm understanding and compliance with this Privacy Policy, including at the start of each client project.

DBI also periodically reviews its website and CRM database to ensure compliance with this Privacy Policy.
